Common Ground Social Network Inc., trading as lemonly (“lemonly,” “we,” “our,” or “us”) values your privacy and is committed to protecting your personal data.
This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use any of our products or services, including the lemonly Hiring Platform and Interview Copilot.
1. Who We Are and What We Do
lemonly is a hiring platform that helps employers evaluate candidates fairly and efficiently through AI-powered screening and interview tools.
Depending on context:
We act as Data Controller for personal data collected directly from candidates when they apply or interact with lemonly.
We act as Data Processor for hiring managers and organizations that use our platform to manage their own recruitment.
2. Information We Collect
2.1 Candidates
When you apply for a role through lemonly or participate in an interview, we collect:
Contact details (name, email, phone number)
Resume, cover letter, and other application materials
Interview audio/video recordings, transcripts, and notes (via the Interview Copilot)
AI-generated summaries and assessments based on your interview or application
Any other data you voluntarily provide (e.g., messages or feedback)
If a hiring manager uploads your resume or information, they are responsible for ensuring they have your consent to do so.
2.2 Hiring Managers
When you create an account or use our services, we collect:
Business contact details and login credentials
Job descriptions, interview criteria, and notes
Billing and payment information (for paid features)
2.3 Automatically Collected Data (All Users)
Device and browser data, IP address, approximate location
Usage metrics (pages viewed, actions taken, timestamps)
3. How We Use Your Information
We use data for the following purposes:
To provide, operate, and improve our platform and Interview Copilot
To screen and evaluate candidates using AI tools
To generate transcripts and structured assessments for hiring managers
To log consent and maintain an audit trail for compliance
To respond to inquiries and provide support
To comply with legal obligations and prevent misuse
4. Lawful Bases for Processing (GDPR Article 6)
Operating the hiring platform, sharing applications with hiring managers:
Legitimate Interest (Art. 6 (1)(f))
AI-powered assessment, interview recording/transcription
Consent (Art. 6 (1)(a))
Compliance with legal obligations (tax, security, etc.)
Legal Obligation (Art. 6 (1)(c))
You may withdraw your consent for AI processing or interview transcription at any time by contacting hello@lemonly.ai.
Withdrawal does not affect processing already performed under valid consent.
5. AI and Interview Copilot Processing
When enabled, the Interview Copilot automatically records and transcribes interviews conducted via integrated calendar or meeting platforms (e.g., through Nylas).
Participants are informed in advance and again when the bot joins the meeting.
Recordings and transcripts are analyzed using AI to produce structured summaries and candidate assessments aligned with the hiring manager’s criteria.
Hiring decisions are made by humans; the AI provides recommendations only.
We may use anonymized and aggregated transcript data to improve our models.
6. Sub-Processors and Data Transfers
lemonly uses trusted sub-processors to deliver its services, including:
Nylas Inc. (for calendar, meeting, and transcription infrastructure)
OpenAI LLC (for AI text analysis)
Mistral AI SAS (for language-model processing)
These providers may process data in the United States or other jurisdictions.
lemonly relies on the European Commission’s Standard Contractual Clauses (SCCs) and equivalent safeguards under GDPR Ch. V to ensure adequate protection for cross-border transfers.
7. How We Share Your Information
We do not sell personal data. We may share it only:
With the hiring manager or organization responsible for the role you applied to;
With sub-processors under binding confidentiality and data-protection terms;
As required by law or to protect the rights and safety of lemonly and users.
8. Data Retention
We retain data for as long as your account is active and up to 24 months afterwards to comply with legal obligations and maintain service records.
We periodically review stored data for relevance and delete it upon request.

9. Consent Logging and Audit Trail
To demonstrate compliance with GDPR Article 7 (1) and Article 5 (2):
We log when, how, and what version of this notice was shown when you gave consent.
The log may include timestamp, source (form submission / email / meeting join), and policy version.
These records are retained alongside interview data for accountability.
10. Your Rights
Under GDPR and PIPEDA, you may:
Access, correct, or delete your data
Withdraw consent for processing
Request a copy of your personal data (data portability)
Object to processing based on legitimate interest
Complain to your local data-protection authority

We will respond within one month.
11. Security
We apply industry-standard measures such as encryption, access controls, network monitoring, and secure hosting to protect all personal data, transcripts, and AI outputs.
12. International Users
If you are located in the EEA, UK, or Switzerland, your personal data may be processed outside your country.
We ensure adequate safeguards via SCCs and approved contractual mechanisms.
13. Children’s Privacy
Our platform is not intended for individuals under 18. We do not knowingly collect data from minors.
14. Changes to This Policy
We may update this Policy periodically.
Material changes will be announced via email or on https://lemonly.ai/privacy-policy
Continued use of our services after updates constitutes acceptance of the revised Policy.
